'FOCUS' view
This view shows all the information you need for today.
ONCE YOU GET USED TO THE 'FOCUS' VIEW, you'll find yourself using the other views less often.
Don’t forget that you choose the colors and text size yourself.
Tip:
Clicking the 'Focus' button toggles between 'Today' and 'Tomorrow' - a very useful feature for those who like to prepare for the next day.
EVENTS
What is an event?
An event has a specific date and time.
If you miss it, it's no longer important the next day (it no longer appears in the active window).
Examples: meetings, trainings, children’s activities, ... Additional event options:
- They can last all day (or multiple days).
- They can repeat (daily, weekly, ...).
- You can add alarms, icons, colors, ...
- You can add a lot of additional information (e.g., location, price, how much earlier you should leave home, ...)
TASKS
What is a task?
A task waits for you until you delete or move it.
The display date is usually set before the "Task End" (deadline) date.
This way, for example, you will see 20 days in advance that your vehicle registration will soon expire (and what cost you will face).
Examples: vehicle registration expiration, document expiration, shopping list, ... You can also be reminded in advance of events that you don't just put on your calendar, as you need to prepare for them separately (celebrations, travels, ...).
Additional task options:
- It can have just one piece of information (e.g., “VW Golf registration expires on 5/4”).
- You can add alarms, icons, colors, ...
- You can add a lot of additional information (e.g., the cost of last year's vehicle registration, a timeline, ...)
NOTES (tasks without a specific date)
They are always shown at the bottom of the task list.
Examples: shopping list, weekend to-do list, vacation packing list, projects, ideas, ...
They include all the same features described under “tasks”.
'MONTH' view

Clear monthly view
Clicking on the calendar displays the details for each specific day.
If you use contrasting colors for 'Events' or 'Tasks', you'll notice them directly in the calendar.

I want/don’t want to see the time and details next to the event title
You can adjust the display in 'Settings'.
What is shown depends on your preferences and how you use the app. However, we recommend avoiding overly long titles, as it makes the view less clear (to make everything visible, the font will automatically shrink).
For more detailed descriptions, use the 'subtitle' and 'comments' fields, which appear when you click on the 'title'. The 'comments' field offers extensive formatting options (font size and color, bullet points and numbering, bold and italic, etc.).
Are some texts too small?
You can adjust this in 'Settings'.
However, if you enable event time display, long titles, and a subtitle all at once, the font will automatically shrink.
In any case, clicking on an 'Event' or 'Task' will enlarge it in the center of the screen (along with additional details: time, alarms, repetition, comments, ...).
Is it too colorful?
You choose the colors yourself. If you prefer, you can use less contrasting colors, just one color, or shades of the same color (e.g., shades of gray).
Using contrasting colors and/or icons can significantly improve clarity in certain views.
Check out the 'Timeline' view in particular, where colors help you quickly distinguish between different activities.
'SCHEDULE' view

Quick day-to-day overview
The 'Schedule' view may look familiar from other apps.
It displays days listed one below the other.
This view focuses on the quantity and sequence of tasks or events over several days. It's best suited for reviewing less busy days.
In contrast, the 'Timeline' view offers a more detailed graphical layout that shows time blocks and gaps. 'Timeline' is especially useful for busier days.

'TIMELINE' view

Additional buttons in this view:
1. Choose the number of days to display
You can choose between 1, 3, 5, or 7 days.
If you select 1 day, the display will be the same as in the 'Focus' view (just without the 'Tasks' section).
The 3- and 5-day views are similar — they help you prepare a few days in advance.
The maximum is one week (7 days). In this case, using contrasting colors will really stand out. Text will shrink significantly, but the graphical layout will clearly show how busy your week is.
2. Adjust the display density
Next to the day selection buttons, you'll find zoom buttons.
You can choose to view the entire day at once or zoom in on a specific part of the day.

Settings

Ensure a backup
You DO NOT NEED TO SIGN IN to use the app, as it works completely independently (without sign-in and internet).
Your data is stored only on your phone.
However, there are reasons when you'd want to have a backup elsewhere.
Reasons could include:
- phone damage,
- lost or stolen phone,
- buying a new phone.
For this reason, the app allows you to create a backup on a server.
To do this, the app requires 2 pieces of information:
- your email (for authorization and password recovery),
- a password (to ensure only you can use the backup).
If you don't log out, you can easily update the backup with every click on the 'Backup' button.
Google Calendar
Are you already a Google Calendar user?
The app allows you to display events that are already entered there.
Since Google Calendar doesn’t offer as many features as this app, it’s recommended to copy manually entered events into this app - you can do this by clicking on the 'copy' icon.
Most importantly, this allows the app to display birthdays from your Google Contacts.
Basic settings
Here are settings specific to the user's country.
The app offered you the choice upon the first launch. Check them and make changes if needed.
App display
You can customize the appearance of the app to your liking (font size, manual or automatic selection between light/dark display modes).
Event/task background color – you can choose the color (unless you change it manually for a specific event/task).
Template editing – Using templates is not mandatory, but they are very useful if you want the app to be more organized. With just one click, you can set the icon and color for a new event/task. This will visually separate different activities (meetings, free time, sports, children's activities, social events, travel, work, ...). Templates can also be edited directly when entering an event/task.
Focus view settings
Since the Focus view is the most used, it has some additional settings.
You can adjust the row spacing (more concentrated for more visible data or more spaced out for easier clicking on the correct row).
You can also adjust the display ratio between the Calendar (top) and Tasks (bottom). The same is possible directly with the arrows in the Focus view.
View settings
The display is limited by the screen width.
You can choose if you want to display the date/time of events and tasks.
You can also display the subtitle above or below the title.
The more data you choose to display, the more saturated the view will become.
If the title and subtitle are long, the text will automatically shrink.
Some users prefer shorter titles and like to see the date and time next to them. Others prefer more descriptive and longer titles, which can significantly reduce the font size.
For better clarity, we recommend using shorter titles and entering additional information in the subtitle or comment. Depending on these settings, the subtitle may be immediately visible, which may again reduce the font size. However, in any case, all details will be visible when you click on the Event or Task.
Various views
Navigate between screens and familiarize yourself further with the app.





Frequently Asked Questions (FAQ)
The main difference is that an EVENT is limited to a specific time frame and is no longer relevant after that period.
A TASK, on the other hand, is not
strictly time-bound.
It may be linked to a specific day or time, but it won't "disappear" from your view automatically - only when you delete it or move it to another day.
If you don't assign a date to a TASK, it functions as a NOTE.
It will always remain visible at the bottom of your list of today's tasks.
Please note that Android and iPhone devices have various ways to restrict app behavior, which can affect notifications.
On first launch after installation, the app highlights all settings that may block alarms (🔋 battery optimization, 🛡️ permissions, etc.).
If you missed that, please check on your phone (not inside the app):
- Settings > Apps > 365 Calendar & Tasks, and review any settings that could block notifications.
Depending on your Android/iOS version, there are also advanced options like “Remove permissions if app is unused”, which allows your phone to automatically revoke the app’s permissions.
Also, check if other calendar apps notify you normally, and whether 365 Calendar has the same privacy 🛡️ and battery 🔋 settings.
